Privacy policy

The short version
We never store your statement file or its transactions. We read the statement, give you the result, and keep only the numbers we need to run the free tools: how many statements you used, whether they balanced, and similar counts.
What we collect on akountable.ai
- Your email address, once you verify it to download, and a hash of the 6-digit code we send.
- Device details: browser, operating system, screen size, time zone, language and the page that referred you.
- Your approximate location (city, region and country) from your internet connection, and a salted hash of your IP address. We never keep the address itself.
- Usage counts for each statement: the bank, page and row counts, whether the balances checked out, how long it took, AI usage counts and any error code.
- Your corrections, stored as salted fingerprints of the transaction description, never the text. When at least three accountants agree on how a transaction should be classified, the shared rule keeps that description in normalised form so everyone benefits.
- To remember your settings per client: the bank and the masked account number printed on the statement (for example ****5108), your own category names and your VAT choices.
- Ratings and comments you leave after a download.
Until you download, your results are kept in your own browser (for up to 12 hours), not on our servers.
Akountable in ChatGPT
When you use Akountable inside ChatGPT, ChatGPT sends us an identifier for your ChatGPT account, which we scramble before storing, your country and city, and a temporary link to the statement you attached. We use the link only to read the statement.
Your finished Excel file waits, encrypted, for at most 10 minutes until you download it, and is deleted the moment you do. If you verify your email in ChatGPT, we link it to your scrambled ChatGPT identifier so you only verify once.
Anything you share in ChatGPT itself is also covered by OpenAI's own privacy policy.
Who processes your statement
We use service providers to run the tools: Vercel (hosting and the AI gateway), MongoDB (our database), Resend (verification emails), and AI providers that read the statement to extract and classify its transactions (currently Google Gemini and TypeSafe AI). They process the statement only to return the result to us.
Why we use it
To run the tools you ask for, enforce the free daily limit, prevent abuse, remember your corrections and settings, and improve the tools from the aggregate counts.
How long we keep it
Verification codes are deleted after they expire. Download links last at most 10 minutes. Usage counts, corrections and preferences are kept while you use the tools; ask us and we will delete them.
